This Privacy Policy explains how ASSOCIANOVA, a brand of Maxqlabs BV (Veldkant 33A, 2550 Kontich, Belgium), collects, uses, and protects the personal data of visitors to www.associanova.com. We comply with the EU General Data Protection Regulation (Regulation (EU) 2016/679, "GDPR") and the Belgian Act of 30 July 2018 on the protection of natural persons with regard to the processing of personal data.
1. Who is the data controller?
Maxqlabs BV is the controller of the personal data processed through this website. You can reach us at lieven.marien@associanova.com or by post at Veldkant 33A, 2550 Kontich, Belgium.
2. What data do we collect?
We process a limited amount of personal data, and only what is necessary to run the website and understand how visitors engage with it.
2.1 Information you provide
- Contact information — if you email us directly or fill in a form (e.g., to request a discovery workshop), we receive the name, email address, organisation and message you submit. Form submissions are delivered to us through our form-handling processor Formspree (see section 4).
2.2 Information collected automatically
- Analytics data — if you accept analytics cookies, Google Analytics 4 collects pseudonymous usage data: pages viewed, time on page, referring site, approximate location (city level), device and browser type, and a randomised client identifier. IP addresses are not logged or stored by Google Analytics 4 — they are used only transiently to derive coarse location and then discarded. We do not receive direct identifiers from Google Analytics.
- Server logs — like most websites, our hosting infrastructure keeps short-lived access logs (IP address, timestamp, requested URL) for security and troubleshooting. These are retained for no longer than 30 days.

4. Who do we share it with?
We do not sell your personal data. We share it only with the limited set of service providers needed to run the website:
- Google Ireland Ltd. / Google LLC — Google Analytics 4 (analytics). Data may be transferred to the United States. Transfers rely on the EU–US Data Privacy Framework and on Standard Contractual Clauses where applicable. See Google's privacy policy.
- Formspree, Inc. — processes the submissions of our contact and workshop forms and forwards them to us. Formspree is established in the United States; the data you enter in a form (name, email, organisation, message) is transmitted to and stored by Formspree on our behalf. See Formspree's privacy policy.
- Google Fonts — a small number of secondary pages load a web font from Google's font CDN, which transmits your IP address to Google LLC at page load. No cookies are set by this. Our main pages serve fonts locally and are not affected.
- Our hosting provider — serves the website pages. No analytics processing happens at this layer beyond the short-lived access logs described above.
We may also disclose data where required by law, court order, or to defend our legal rights.
5. International transfers
Some of our service providers process data outside the European Economic Area (notably in the United States): Google (Analytics and, on some pages, Google Fonts) and Formspree (form submissions). Such transfers are protected by appropriate safeguards (the EU–US Data Privacy Framework and/or Standard Contractual Clauses adopted by the European Commission). You can request a copy of these safeguards by contacting us.
6. How long do we keep it?
- Contact emails / enquiries: up to 24 months after the last interaction, unless we have an ongoing relationship.
- Form submissions held by Formspree: retained in the Formspree account only as long as needed to receive and action the enquiry, and deleted from there on the same 24-month cycle as the corresponding enquiry.
- Google Analytics events: retained per our Google Analytics data-retention setting (at most 14 months, GA4's maximum), then automatically deleted.
- Consent record: stored locally in your browser (key
associanova-consent-v1) until you clear your browser storage or change your decision. - Server access logs: maximum 30 days.
7. Your rights
Under the GDPR you have the right to:
- Access the personal data we hold about you (Art. 15);
- Rectify inaccurate data (Art. 16);
- Request erasure ("right to be forgotten") (Art. 17);
- Restrict processing (Art. 18);
- Receive your data in a portable format (Art. 20);
- Object to processing based on legitimate interests (Art. 21);
- Withdraw your consent at any time, including by clicking to revisit your analytics choice.

If you believe we are processing your data unlawfully, you have the right to lodge a complaint with the Belgian Data Protection Authority (Gegevensbeschermingsautoriteit, Drukpersstraat 35, 1000 Brussels).
8. Children
This website is intended for business audiences. We do not knowingly collect personal data from anyone under 16.
9. Security
We apply reasonable technical and organisational measures to protect personal data against unauthorised access, loss, or disclosure. No system is perfectly secure, but we use HTTPS-only delivery, restricted access to systems, and encrypted communication with our service providers.
10. Changes to this policy
We may update this policy from time to time to reflect changes in our practices or in applicable law. The "Last updated" date at the top will indicate when the policy was last revised. Material changes will be highlighted on the website.
